Artificial Intelligence is no longer an experiment, it’s infrastructure. Every modern organization, especially in media and publishing, now finds itself managing not just servers and platforms, but systems that can think, write, and act. As these capabilities grow, so too does the responsibility of the CIO to define how AI can be used, and how it cannot.
My organization recently published our Artificial Intelligence Acceptable Use Policy, a document designed to bring clarity, accountability, and ethics to an increasingly complex AI ecosystem. It’s the foundation that allows us to innovate boldly while maintaining the trust of our readers, advertisers, and partners.
Before any CIO green-lights AI technology such as AI browsers, copilots, or creative tools, a strong governance framework like this must already be in place.
The Foundation: Key Tenets of a Modern AI Acceptable Use Policy
A well-crafted AI policy defines the boundaries between innovation and exposure. The following principles serve as a model for CIOs establishing governance in high-risk, content-driven industries.
1. Purpose, Scope, and Accountability
The policy must clearly define why AI is being used and who is responsible. It applies not just to employees, but to third parties and systems that handle company data. Every AI tool, from embedded copilots to newsroom assistants, must fall under the same standard of ethical, secure use.
2. Formal Governance and Approval
No AI tool should enter enterprise use or the production environment without formal review. Every application should be classified by risk tier — critical, high, moderate, or low — and evaluated by Governance, Risk & Compliance (GRC), Security Engineering, and Legal. This ensures that tools handling sensitive, customer or editorial data are reviewed for security, privacy, and business alignment before approval.
3. Ethical AI Principles
The policy must define the ethical guidelines for AI use ensuring that AI-based use cases are:
Purpose-driven — aligned to the company mission; in our case, supporting journalism, advertising, or operational excellence.
Human-validated — requiring human oversight of AI outputs.
Transparent — with clear disclosure of AI involvement.
Fair and unbiased — mitigating ethical or reputational risks in public-facing content, which is especially important in news media.
4. Data Protection and Retention Controls
As a CIO, it is paramount that no AI system ever become a data leak vector. The policy should prohibit uploading sensitive or proprietary information, such as PII, PHI, or confidential business records, unless explicitly approved. It should also mandate disabling model training and data retention features wherever possible to prevent unintended exposure.
5. Prohibited Uses and Guardrails
The policy should articulate any prohibited use cases that could cause financial or operational harm, violate legal or ethical standards, or compromise data confidentiality. No one, not even an executive, is permitted to override these restrictions.
6. Documentation, Oversight, and Re-review
Every approved AI tool should be documented, logged, and periodically reassessed. Significant functionality or data-flow changes trigger a full re-review. Threat intelligence and version tracking ensure that AI tools remain compliant as vendors and the AI landscape evolve.
7. Specialized Use Cases
The policy should also cover emerging domains, especially those relevant to your industry, like AI meeting assistants, vibe coding, and newsroom applications, ensuring each is used ethically and only under explicit approval. R&D should be encouraged, but only when documented with advance approval and performed by specified teams in environments isolated from production.
In short, the policy sets one consistent expectation: AI must be used in a governed way to serve human intent, never replace human accountability.
Why This Matters for CIOs in Media and Publishing
Few industries face higher stakes in trust than media. We handle public information, private data, and creative intellectual property, all of which are vulnerable to misuse by generative AI systems. Without clear governance, well-meaning employees can unintentionally expose sensitive data to public models or introduce AI-generated inaccuracies into editorial content.
A mature Acceptable Use Policy isn’t a compliance exercise, it’s a strategic safeguard that lets you embrace AI safely. It defines the operating system for digital ethics inside your company.
The Next Risk Horizon: AI Browsers
AI policies should be reviewed regularly, especially given the pace of change in AI technology. Policies should provide guardrails for emerging technologies entering the enterprise. An example of this is the emergence of AI browsers.
These browsers, such as Perplexity’s Comet, integrate AI agents directly into the browsing layer. They read, summarize, and act across sites, emails, and SaaS applications. Users can simply instruct: “Book travel, summarize this document, or send a follow-up email,” and the browser executes autonomously.
From a productivity standpoint, that’s transformative. From a cybersecurity standpoint, it’s terrifying.
The Risks at a Glance
Prompt Injection & Agent Hijacking: Hidden code or instructions on webpages can trick the agent into sending internal data to outside servers.
Over-Permissioning: Many AI browsers request full access to emails, credentials, and tokens.
Visibility Gaps: Traffic between the browser agent and its cloud backend often bypasses data loss protection (DLP) tools.
Compliance Concerns: Ambiguous data retention and model-training policies may violate privacy rules.
Immature Security Models: Researchers have already demonstrated real vulnerabilities and exploits in existing AI browsers.
How CIOs Should Respond
As CIOs, our role is to balance innovation with protection. That starts with containment before convenience, classifying AI browsers as high-risk automation tools until proven otherwise.
Before any organization permits use of tools like Comet, it’s essential to conduct controlled pilots in isolated environments. Limit access to non-production data, instrument every action, and measure both productivity and risk.
Vendors should be required to meet enterprise-grade criteria: SSO integration, transparent data handling, clear retention policies, and contractual assurances that enterprise data will never be used for model training. Logging, audit-ability, and disablement of risky behaviors must be table stakes.
And above all, communicate clearly to employees: AI browsers are not neutral utilities. They act on behalf of your identity. The moment you log in, they become a proxy for your access rights, and that changes everything about how trust must be managed.
Until the risks are known, and strong mitigation tactics implemented, the use of AI browsers should be prohibited, a point which should be revisited often as the technology landscape changes.
Monitoring and Enforcing Compliance with the AI Acceptable Use Policy
Publishing an AI policy is only the beginning. The real discipline comes from monitoring, detecting, and enforcing compliance on an ongoing basis, which is explicitly reflected in the policy’s documentation, oversight, and re-review requirements.
Visibility is the first pillar. Organizations must maintain a complete inventory of approved AI tools, embedded AI features, and integrated copilots, ensuring that only sanctioned tools are in use. This includes monitoring browser extensions, unauthorized AI websites, shadow AI tools inside SaaS platforms, and emerging “invisible AI” features. Secure web gateways, Cloud Access Security Brokers (CASB) & Secure Access Service Edge (SASE) platforms, and endpoint agents should be configured to detect or block unapproved AI traffic patterns and unsanctioned AI tool usage.
Detection is the second pillar. Data Loss Protection (DLP) and endpoint monitoring should be tuned to detect sensitive data being entered into AI systems, especially proprietary content, PII, PHI, financials, or newsroom materials. Network controls should enforce prohibitions on AI meeting assistants and unauthorized transcription tools, consistent with the policy’s stipulations that such tools may only operate with explicit approval, participant consent, and eDiscovery readiness. As AI browsers emerge, detection must extend to identifying autonomous agent activity and abnormal browser behaviors.
Accountability is the final pillar. Any major vendor update, model expansion, or change in data practices should trigger mandatory re-review as required by the policy’s material-change clause. Periodic audits, governance dashboards, automated alerts, and compliance reviews help ensure that AI use remains aligned with organizational risk tolerance. Violations should activate the enforcement processes defined in the policy, which range from access restriction to disciplinary action, depending on severity.
Sustained oversight isn’t optional, it’s how AI remains a business enabler rather than a liability. Organizations that operationalize monitoring in this way will be best positioned to innovate responsibly.

AI technology and tools, including AI browsers, sit at the frontier between human agency and machine autonomy. They promise immense efficiency, but they also represent a new and largely untested form of risk.
The lesson for every CIO is simple: before granting AI the keys to your data, make sure you’ve defined the rules of the road. A well-crafted AI Acceptable Use Policy isn’t a document, it’s your organization’s first line of defense in the age of autonomous systems.
